Volume Weight

The freight industry uses two kinds of weights:
The gross weight and the volume weight.

The gross weight is equivalent to the weight shown by a scale. The volume weight consists of the size of a package and a volume coefficient and is calculated according to the following formula:

volume weight = Length x Width x Height / 6000

Transport costs are calculated on the basis of the higher weight.

Example:
A package of the size 40 cm x 30 cm x 50 cm (Length x Width x Height) and a gross weight of 6 kg.

1. Calculation of the volume: 40 cm x 30 cm x 50 cm = 60.000 cm3
2. Division of the volume by the volume coefficient 6.000
3. The volume weight is 10 kg.

In this case, the volume weight of the package (10 kg) is higher than its gross weight (6 kg).
Therefore, the volume weight will be used to calculate the transport costs.
				

Pro-forma-Invoice

A pro-forma invoice for shipments to destinations outside the EU facilitates the calculation of duties and taxes. It has to be issued in four copies for shipments that are not based on sales transactions. A pro-forma invoice has to be composed in English and signed by the consignor.

A pro-forma-invoice has to contain the following information:

  • Name and address of the consignor (seller), including contact person and a phone number
  • Name and address of the consignee, including contact person, phone number, country of destination and the zip code
  • Name and address of the buyer (importer), in case the buyer is different from the consignee
  • Extensive and complete description of all items shipped
  • Country of origin
  • Reason for export (e.g. sale, repair, samples, etc.)
  • Number of items and total value of each item. For customs purposes either a nominal value or a market value has to be given for items without commercial value or for samples of goods.
  • Number of packages, total weight and total value of shipment, including settlement currency
  • Consignor's signature and date

Insurance

Packaging and Labeling

The consignor is responsible for appropriate and safe packaging of shipments for transport. Shipments have to be packed as to abide regular transport conditions without any damage.
